View Full Version : How to merge folders

I am rather new to Plaxo. I like everything about Plaxo.. well almost everything.
I have recently created folders for categorizing my contacts. But I would also like to have a folder that has all the contacts so I do not have to perform operations like update on individual folders. Is there a simple way to create a merged folder that contains all my contacts?
I can do it manually by exporting everyone of those contacts from individual folders into a single spreadsheet, merging all contacts in a spreadsheet, and then by importing all of them again into a Plaxo's merged folder. But this is a time consuming process. I am sure there must be a simpler way to do this.
Any Help.

Great idea, but take it a step further and have a feature that allows us to move contacts around from one folder to another if we feel like consolidating them or putting them into another category.

I do that with my Yahoo Address book, but Plaxo is so much easier to update, I wish I could transfer stuff as I like it too! When are we getting this?? SOON?

Unfortunately, moving/merging entries can complicate the synching of entries which makes it more than just a trivial feature (or at least that's what Engineering has told me in the past :-).
I'll make sure somone from Engineering hears your call and at least considers this for a future server (Plaxo Online) release.

I agree. I have two contacts folders, named differently, that should be merged and from which duplicates should be trimmed. How can this be done and when?

The Address Book Optimizer will find/fix duplicates even if they exist in two separate folders.
But if you wish to merge two folders and are using Plaxo Online exclusively (ie: not using Outlook or Outlook Express), the only workaround would be to export the contacts from folder2, and import them back into folder1.

1. I use Plaxo in Outlook, in fact the same named address books are duplicated there. Is there a better way to work around this problem if I use Outlook?
2. Which duplicate will Plaxo delete? Will it automatically delete the second one it finds? Or, id there some other logic parameter(s) it cycles through to determine which of the duplicates is the correct/updated one?

If you are already using Outlook, I would suggest performing the merge in Outlook. Simply move the entries from one folder to the other and remove the empty folder.
Sync these changes to your Plaxo Online account (hit the Sync button).
You can then use the ABO to remove any dupes. The ABO will walk you through the entire process and identify your dupes. You can then select how you wish to resolve the dupes.

This does not appear to be true. From the first screen in the find dup wizard:
Please choose an address book folder. You'll have the opportunity to remove duplicates from other folders later. Please note that the Address Book Optimizer only removes duplicates within a single address book folder, not across different folders.
With no way to merge folders, and no way to find dups across folders, it's a real pain to manage multiple folders! I hope you can provide one or the other soon.

You are correct. This was my error. The current ABO only dedupes a single folder at a time. Sorry for the confusion.

Well, I'm posting. Let's get it done soon. I remember the days when problems occured and Engineers used to place low priorities on the solution hoping that the problem will fix itself. /images/graemlins/blush.gif

Question.
If I make a change through plaxo's web interface to my outlook folder, will that change what appears in outlook?
I guess I'm still confused by the appearance of plaxo online folders, outlook folders, etc.
Then how it syncs to yahoo, etc.

Imagine a wheel, or more precisely a hub and spoke. The hub is your Plaxo account, the spokes are the various Plaxo-enabled applications and services.
Everything is syncrhonized with your Plaxo account, so yes - a change in one place, gets reflected in other places. If you change an entry in Plaxo Online, assuming you are running the Plaxo Toolbar to sync with your Outlook, that change will be reflected in your outlook the next time the sync occurs.
