View Full Version : Plaxo for Mac <-> AB synchronized fields

March 2nd, 2006, 04:09 PM
We will be providing some guidelines on using Plaxo for Mac with your Apple Address Book by the time we release the final 1.0 version of the software, but in the meantime here is a breakdown of what Address Book fields/labels are synchronized using Plaxo for Mac.

Plaxo for Mac does not sync every field/option of the Apple Address Book (at least for now). However, we do sync the most commonly used fields and support a rich collection of contact data.

For emails, we base our sync off of the labels given to your contact's info. We sync fields with the labels 'home', 'home 2', 'home 3', 'work', work 2', 'work 3'. So you can sync a total of six email addresses per contact using Plaxo.

For phone numbers, we sync fields with the labels 'home', 'home 2', 'work', 'work 2', 'other', 'home fax', 'work fax', 'other fax', 'moble', 'work mobile', 'pager', 'SkypeIn', 'assistant'

For addresses, we sync fields with the labels 'work', 'home', 'other'

For URLs, we sync fields with the labels 'work', 'home'

For related people, we sync fields with the labels 'assistant', 'manager', 'spouse'

For dates, we sync fields with the label 'anniversary'

For AIM IM fields, we sync fields with the label 'main'

When using Plaxo to synchronize your data, it is imperative that each of the above referenced label/field combos are used at most once. Otherwise, through the normal operation of keeping your data in sync it is very likely that you would lose data on the fields where a label was used more than once. e.g., Do not have two phone numbers entered for a contact each with the label 'home'. Eventually, one of them may be deleted. If you have a contact with multiple phone numbers, use one of the labels mentioned above at most once, or choose a unique label name that does not match one of the field labels that Plaxo for Mac uses. Unique labels can be applied to multiple entries of the same type of data without problem since Plaxo will not attempt to synchronize these fields.

In addition to the above mentioned data types and labels, Plaxo for Mac synchronizes the following information:

title
first name
last name
middle name
name suffix
maiden/family name
nickname
birthday
company name
department name
job title
notes

Plaxo Categories are synchronized to your Address Book Groups and vice-versa (Smart Groups excluded)

In addition to this, Plaxo for Mac will sync IM fields for AIM, MSN, Jabber, ICQ, Yahoo!, Skype, Google, Other with the labels 'home' and 'work'. Unlike the previously referenced fields where Plaxo for Mac requires a unique label for a given type of contact info, the various IM fields can have multple 'home' and 'work' labels per IM service kind. e.g. it is okay to have two AIM accounts each with the label 'home'.

Notable information that is not synchronized (at the present time) includes:

- whether the contact is marked as a person or a company

- what regional formatting is applied to an address

- whether or not the the contact's name display has been customized to display first name / last name or last name / first name

what regional formatting is applied to an address

I use Plaxo both on Windows (Outlook 2003) and Mac. I experience a few syncing problems that arise from not mapping certain fields, but that's not too serious. What is serious is an error in the mapping of postal codes after cross-platform syncing.

Dutch postcodes are formatted 'nnnn AA' (that's four numeric characters, a space, and then two alphanumerical characters). When I edit an address in the Outlook 2003 Contacts database, these postcodes show up OK in Outlook and Plaxo Online after syncing. However, when Address Book syncs, the numerical part is synced in the Postal code field while the two remaining alphanumeric characters are prefixed to the City-field.

There is a space in between so it is properly formatted when printed, but I cannot rely on the postcode for e.g. AppleScript use or other automated tasks.

But worse: when I edit on the Mac and put the postcode in the correct position, the alphanumeric characters get cut off. This is very annoying, as I cannot edit on the Mac.

An example of what happens in various situations:
<font class="small">Code:</font><hr /><pre>POSTCODE CITY DESCRIPTION
1000 AZ Amsterdam Original formatting in WinXP Outlook 2003 Contacts
1000 AZ Amsterdam Formatting showing up in Mac Address Book

1000 AZ Amsterdam Original formatting in Mac Address Book
1000 Amsterdam Formatting showing up in WinXP Outlook 2003 Contacts</pre><hr />

For now, I work around this apparent bug by keeping my master list on Windows Outlook 2003, but in the end Plaxo should sync correctly by being aware of regional differences in address formatting.

Can you please look into this matter?

I'm very sorry to hear of the problems you are experiencing with the postal codes. I was able to verify this behavior with the examples you gave (thank you for the test case) though I was able to edit on my Mac and have the postal code show up correctly online any change to the contact on Plaxo online would cause the malformed address to be sent down to Plaxo for Mac.

This issue has to do with our servers - so the good news, if there is any, is that this will 'just work' one day without you having to update your installed Plaxo software. I'll make sure the server team is aware of this problem so they can try to fix it.

Having successfully synced Outlook XP between a home and work computer using Plaxo for some time now, I was looking forward to tying in a Mac as well.

Unfortunately, the result of this 3 way sync seems to be the loss of random data fields on 10% of my 560 contacts. Looking through these forums, it seems that the change history in Outlook is the only record of what Plaxo did...

Now to decide whether to undo the erroroneous sync manually or just go back to a backup data file. I wouldn't recommend trying the Outlook PC to Mac address book via Plaxo yet.

I'd really like to get more details of the random data loss that you experienced. We've put a considerable effort into testing between Mac and PC synching since we know that this was a requirement for so many of our Plaxo members.

There is a possiblity that garbage data that has made its way into your Plaxo Online Address Book is being rejected by the Mac client.

If you restore you data by using you backup file, please check the records that had been affected to see if there are any visible signs of anomalies with them.

You can contact me directly if you'd like to contribute to the resolution of this problem.

Thanks!

Hello Mac Plaxo Team!

I posted the report on April 28th about the malformed Dutch postal codes when syncing between Mac and PC. From my original report, the behaviour of the Plaxo servers has changed the outcome of what appears in either address books.

When I enter or edit an address on Mac, the postal code on the PC now appears appended to the address, like this:
1000 AZ Amsterdam Original formatting in Mac Address Book
Amsterdam 1000 AZ Formatting showing up in WinXP Outlook 2003 Contacts

The behaviour of syncing the other way 'round hasn't changed, so an address edited on the PC will have the alphanumerals prepended to the city name.

Can your development crew look into this?
