View Full Version : Shared contacts/calendars/tasks among multiple users

Several people have been asking a similar feature for a while, but I haven't seen any updates on the topic for a while...

Basically, what I would like to be able to do is very simple:

- Keep some of my contact/calendar/task folders private
- Share some of my contact/calendar/task folders with a list of "trusted" users (or a "group", like in HipCal). Ideally, even have the ability to do something more specific, like "share Folder1 with Joe only, share Folder2 with Joe and Mike..."
- Of course, any updates should be kept in sync across all shared users, using both the online version and the Outlook toolbar

I'm sure that something like that has a LOT of business potential and many users and small/medium companies would be interested.

Any ETA on such a feature?

Yes, we are also interested in supporting this sort of functionality. Unfortunately it just hasn't quite gotten high enough on the list yet, but anyone who would like to see this sort of feature or anything similar, please keep writing in and describe the specific functionality you'd like to see - the more interest there is the more likely it will be supported.

I own a small business (actually micro business), but I have a scheduling service that is in a different town. They have the ability to add scheduled appointments, contacts and notes for me, but there is no way to get that information into Outlook on my machine unless I manually re-type everything in! This is a major time sucker and I would like it to change. Since I can add that information into Plaxo online and then it syncs to my desktop and my laptop, this would seem like a good solution. The only thing missing to make it work is a permission system. If they were Plaxo members as well, I could give them permission to add/move/delete appointments to my schedule, but I would still be able to add my own appointments that they can not move (personal appointments or blocks in my schedule). The same goes for contacts, notes, to-do's etc. They would not be able to see the details of any of my items marked as Private. Then they could add to my online calendar and then it would auto sync with my machines and I would not have to re-type anything.

This is a feature that would most definitely appeal more to businesses than to individual's, but it also has some implication there as well. Say you have a local band that is a Plaxo entity, but it also has a manager and five members that all have permissions to communicate or schedule for the bands calendar. Or say you have a family that has family members in different cities, but wants to communicate with each other or schedule time at the lake house. These features would also work in those instances as well.

Plaxo,

This would be a great feature and adopted extremely widely I would suggest. I came into the forum to investigate exactly this capability for the very simple purpose of sharing my calendar with my wife.

Of course that would have the downside of her knowing what I'm doing, but on the whole this would be really useful.... for many many people...

Think also of sharing Calendar, Contacts, Notes and Tasks across a project or account team not connected on Exchange. May I humbly suggest this could be a moneyspinner...

Could I have a free copy for being a beta-tester please? ;-)

I agree. This would be a great feature. My assistant manages my calendar. I want her to be able to add and modify my calendar, but I don't necessarily want her thumbing through my address book. Would be great to be able to add users to my account and limit their privileges.

Bump..

This isn't just a nice feature to have; as far as I'm concerned it's a "make it or break it" feature. When I signed up for Plaxo, I did so hoping that I finally found a tool to help manage my families individual schedules and that could be synched to my outlook, and thus my phone as well. Here's me sorely disappointed, without it Plaxo is "Just Another Calendar (tm)"..

To everybody else that needs this feature, keep posting here; make sure this is high on the to-do list...

Calendar sharing is now available in the new Plaxo 3 beta. If you go to preview.plaxo.com you can show the Calendar tab, then click the Calendar dropdown and choose share & manage. There you can publish a calendar which will give you a page to view the shared calendar, and has a "Gimme an iCal" link. If you use Outlook 2007 or another application that can subscribe to iCals, you can then subscribe to this shared calendar. If Outlook 2007 is installed, I think you can just click the Gimme an iCal link and Outlook should guide you through the process.

Oh my goodness!!!

My wife would kill for this, she loves to create calendar entries for me ;-)

But, even so, it would be a GREAT idea!!:o

this is very good, thank you for the development

however it lacks the permissions layer, that could also be applied to contacts, notes,... I do not want everybody to see everything in my calendar

there should be two layers for maximum flexibility :
* different authorization levels according to the categories : the business category with my colleagues, the ski category with some friends, the personal category with other friends and so on
* public/private, masking the private records

That would be a very very VERY viral feature because it would push users to have everybody on Plaxo to share Contacts, Calendars,...

I too was looking for a tool to integrate my schedule with business/family/friends, all with differing access/views by group. I'm currently using the "url" publishing with family but would love to see the ability to allow them to add/edit/change (depending upon permissions I set for the group or at the individual level).

A shared Appointment Calendar (along with other existing social networking features) would go a long way towards a Patient Portal!
